Annulation AGE février 2024

Objet : Annulation de l'Assemblée Générale Extraordinaire du 13 février 2024

Chère étudiante, cher étudiant,

C'est avec regret que nous annonçons l’ANNULATION de l'Assemblée Générale Extraordinaire initialement prévue aujourd’hui le 13 février 2024 à 17h en ligne. Celle-ci n’aura pas lieu et nous écrivons ce mail pour motiver les raisons de notre décision et apporter plus de clarté et de transparence sur celle-ci.

Cette Assemblée Générale Extraordinaire (AGE) était initialement prévue pour discuter d’une modification du budget 2023-2024 afin de pouvoir réaliser de nouveaux projets. Le comité de direction de l’AGEPoly l’a convoquée rapidement, en ligne, et avant d’avoir obtenu toutes les réponses afin de tenir les délais fixés par les prestataires pour la mise en place de l'événement PolyNice.

En quelques lignes la modification du budget envisagée portait sur deux projets, l’événement PolyNice et un local hors campus. Malheureusement, le projet PolyNice a rencontré un refus de financement externe, impliquant son annulation. N’ayant plus qu’un projet à l’ordre du jour et celui-ci n’étant pas urgent, nous avons pris la décision de reporter ce point à une prochaine Assemblée Générale (AG). De plus, la difficulté d’organiser une Assemblée  Générale Extraordinaire en ligne, et surtout pendant les vacances, nous pousse à juger qu’il est préférable de l’annuler. Puisque davantage de personnes seront disponibles durant le semestre, organiser cette AG à ce moment-là offrira un environnement propice à une réflexion approfondie et à la prise de décisions éclairées.

C’est pourquoi nous souhaitons revenir sur notre décision et annuler la tenue de cette Assemblée Générale, que nous reconnaissons avoir convoquée rapidement et à un moment inopportun.

Concernant PolyNice, nous avons voulu retenter un format déjà réalisé par le passé: louer une patinoire et l’installer sur le campus pendant 2 semaines. L’organisation de cet événement a peiné à commencer en raison d’une validation tardive de l’école concernant sa tenue. Nous avions alors besoin de l’approbation de l'Assemblée Générale pour continuer à avancer sur le projet, en modifiant considérablement le budget alloué initialement à cet événement. Comme vous avez pu le constater dans les documents que nous avions préparés, cette modification de budget impliquait notamment un financement externe que nous n’avons malheureusement pas réussi à obtenir. Nous avons bien sûr essayé de trouver d’autres sources de financement mais, les délais étant trop courts et ne souhaitant pas se précipiter pour un projet d’une telle envergure, nous avons pris la décision de l’annuler pour cette année.
Concernant le local hors campus, tout comme PolyNice, ce projet était inclus dans la proposition de modification du budget. Nous avons donc également besoin de l’accord de l’Assemblée Générale à cet égard. Ce projet vise à louer un espace hors campus pour permettre de délocaliser la tenue de petits événements qui sont actuellement limités sur le campus en raison des quotas imposés par l’école. Nous recherchons donc un lieu qui remplirait plusieurs critères que nous avons définis en concertation avec les associations du campus. Ce projet a lui aussi avancé, mais nous attendons toujours des réponses des différentes entités impliquées afin de pouvoir le poursuivre. Etant donné que ce projet a des perspectives à plus long terme et que nous préférons obtenir un accord concret correspondant à un projet bien défini, plutôt qu’un simple accord de principe, nous avons décidé de reporter ce point à une prochaine Assemblée Générale.

Object: Cancellation of the Extraordinary General Assembly of February 13, 2024

Dear student,

It is with regret that we announce the CANCELLATION of the Extraordinary General Assembly originally scheduled for today, February 13, 2024 at 5pm online. This meeting will not take place, and we are writing this email to explain the reasons for our decision and to bring greater clarity and transparency to the matter.

This Extraordinary General Assembly (EGA) was initially planned to discuss a modification to the 2023-2024 budget to enable new projects to be carried out. The AGEPoly Board called it quickly, online, and before obtaining all the answers, in order to meet the deadlines set by the service providers for the PolyNice event.

In a nutshell, the proposed budget change concerned two projects: the PolyNice event and an off-campus venue. Unfortunately, the PolyNice project was turned down for external funding, which meant it had to be canceled. With only one project left on the agenda, and as it was not an urgent one, we decided to postpone this item until the next General Assembly (GA). Furthermore, the difficulty of organizing an Extraordinary General Assembly online, and especially during the vacations, leads us to judge that it is preferable to cancel it. Since more people will be available during the semester, holding the EGA at this time will provide an environment conducive to in-depth reflection and informed decision-making.

This is why we wish to reverse our decision and cancel this Extraordinary General Assembly, which we acknowledge to have been convened quickly and at an inopportune moment.

About PolyNice, we wanted to try again a format already used in the past, which consisted of renting a skating rink and installing it on campus for 2 weeks.  The organization of this event got off to a late start, due to a late validation from the school concerning the holding of the event. We needed confirmation from the General Assembly in order to move ahead with the project, with considerable changes to the budget initially allocated to the event. As you will have seen from the documents we had prepared, this change in budget notably involved external funding, which we were unfortunately unable to obtain. We did, of course, try to find other sources of funding, but as time was too short and we didn't want to rush a project of this scale, we decided to cancel it for this year.

Regarding the off-campus premises project, like PolyNice, this was included in the proposed budget amendment, and here again we need the approval of the General Assembly. This project aims to rent a space off-campus to enable the relocation of small events that are currently limited on campus due to quotas imposed by the school. We are therefore looking for a venue that meets a number of criteria that we have defined in consultation with campus associations. This project has also moved forward, but we are still awaiting responses from various organizations involved so that we can go ahead with it. Given that this project has longer-term perspectives and that we prefer to obtain a concrete agreement corresponding to a well-defined project, rather than a simple agreement in principle, we have decided to postpone this point to a future General Assembly.
